Totalis Website Privacy Notice

This notice explains how Totalis Solutions, LLC (Totalis, we or us) handles information through www.totalis-solutions.com, website inquiries and consultation scheduling. Client accounting, bookkeeping and tax records are handled under separate engagement terms and retention requirements.

Information you provide

Our Contact form requires your first name, last name, email address and message. We use this information to respond, discuss the services you request and maintain the related correspondence. Please do not send tax documents, Social Security numbers, account credentials or other sensitive records through this general inquiry form. Contact us to arrange an appropriate channel.

If you book a consultation, Acuity Scheduling processes the contact and appointment information you provide to arrange and manage the appointment.

Website information and service providers

Our website and integrated services process technical and usage information. Depending on the service, this may include your IP address, browser and device information, pages visited, referring page, dates and times, interactions, and cookie or similar identifiers. We use website tools to operate and protect the site, understand visits and support the functions described below.

• Squarespace hosts the site and processes forms. Inquiry records are stored in Squarespace Submissions/Contacts, notifications go to support@totalis-solutions.com, and the form connects to our Google Drive inquiry spreadsheet. Our email service and Google Drive process the copies stored there.
• Google Analytics helps measure website visits and usage when you accept optional Performance and Analytics. It uses cookies or similar technologies to collect and process usage information. • Acuity Scheduling provides consultation booking. Its native Google Analytics integration is currently not configured. Google reCAPTCHA helps protect the inquiry form against spam and abuse; Google's Privacy Policy and Terms of Service apply.

We disclose information to the providers used for these functions. Some providers also process information for their own purposes under their privacy notices. We may disclose information when needed to comply with applicable law, respond to lawful requests, protect rights or security, or address disputes. Providers may process information outside your country; their notices describe their own practices.

Cookies and your choices

The cookie banner offers Accept all, Decline all and Manage cookies. Optional Google Analytics loads only after you accept Performance and Analytics. You can reopen Cookie Preferences to change that choice; we use your selection to enable or disable Google Analytics measurement. Google Ads tracking is disabled.

These choices apply to optional website analytics, not to information you choose to provide in inquiries or appointments. Acuity is a separate booking service, and the website preferences do not control all processing performed by that service. Its native Google Analytics integration remains off.

Browser settings may also let you block or delete cookies. You can contact us without using the website form by emailing support@totalis-solutions.com.

How long we keep information

Our retention policy sets 12 months from the last substantive contact for ordinary inquiries that do not become client engagements, and 24 months from the appointment or cancellation for appointment administration records. The policy calls for monthly review and deletion of eligible records after these periods, rather than automatic deletion on the exact anniversary.

We may retain relevant records longer when needed for an active engagement, a dispute, legal obligations or a legal hold. Client accounting, bookkeeping and tax records follow separate engagement and applicable retention requirements, not these website periods. This schedule covers copies under our control in our support mailbox, Squarespace, Google Drive, Acuity and any connected calendars. Provider backup copies and provider-controlled records may follow different retention arrangements; we do not promise immediate removal from all backups or provider systems.

Privacy questions and requests

Contact support@totalis-solutions.com with questions or requests about your information. Depending on the law that applies, you may have rights such as access, correction, deletion or objection to certain processing. We may need information to verify your identity, and requests are subject to applicable law and permitted retention. Do not email sensitive identification documents unless we arrange an appropriate way to provide them.

No internet transmission or storage system is risk-free. This general website form is not a client document portal. If we change this notice, we will update the effective date and provide any additional notice required by applicable law.
