A useful contractor file connects the payee, the reason for payment, the payment method and the supporting records. Start there. A vendor total alone does not settle which information return, if any, applies.
1. Know who was paid
Build a payee list from the accounting records and relevant bank, card and payment-platform activity. Combine duplicate vendor records only after checking they refer to the same person or entity. Flag names that do not match the invoices or tax documentation.
2. Request the right information securely
Form W-9 supplies the taxpayer identification information and certifications used by a requester for information reporting. Follow current IRS requester instructions and use an agreed secure collection method. Do not put Social Security numbers, tax IDs or completed forms in a public website inquiry. A missing or questionable form belongs on the review list, not in a guessed field. [1]
3. Keep payment methods separate
Track how each payment was made, along with its date, amount and purpose. Separate checks and bank transfers from card or payment-platform transactions so the preparer can evaluate the applicable reporting treatment. Do not simply copy one annual vendor total onto a form or assume all payment apps work alike.
4. Review facts before selecting forms
Have the reviewer determine the applicable form, reporting rules, exceptions, federal and state requirements and current-year deadlines. Confirm the payee information and correct any duplicates or coding issues. Whether a person is an employee or contractor is a separate question; a W-9 or an information return is not a substitute for that review.
5. Keep evidence of the completed process
Assign responsibility for filing, recipient copies, confirmations, rejected submissions and corrections. Agree on what the owner must approve and when records need to be supplied. This guide deliberately does not hard-code a dollar threshold or filing date: use the current instructions for the actual payment and reporting year.
